Two organisations asking for the same certificate can require very different work. A useful quotation begins with the business requirement and the actual operating scope.
Prepare a one-page scope brief
- Company name, activity and location of each relevant site.
- The exact standard, scheme, tender clause or customer request.
- Products or services to be covered and any important exclusions.
- Existing certification, documentation and previous findings.
- Operational evidence available and the internal team responsible.
- The intended deadline and what creates it.
Identify the workstreams
Documentation, implementation, training, internal audit, laboratory testing and independent assessment are different activities. Establish which are needed and which the organisation can manage internally.
Ask what the price assumes
Check the site count, scope boundaries, deliverables, remote and on-site support, travel, external-body fees, taxes and follow-up arrangements. If a quotation relies on an assumption, record it so both sides can assess changes later.
Give the internal team a realistic role
The consultant can structure and guide preparation. Staff still need to operate controls, produce reliable records, attend reviews and close actions. A timetable should reflect those responsibilities and external scheduling dependencies.
Keep records secure
Share only the information needed to scope the enquiry through the public form. Arrange an appropriate channel before sending confidential customer records, employee information, system credentials or proprietary technical documents.
